Mappings

Mappings enable you to add additional rollups to help you organize your data. In effect, a mapping adds an additional column to an existing table with logic that you build.
For example, if you integrate your accounting system to Aleph, you can add a mapping to one of your integration tables (e.g., the Balance Sheet). The data in the Balance Sheet integration table is classified according to the chart of accounts set up in your ERP, but, you may want to classify the accounts by other categories that better suit your reporting needs. For instance, you can label your assets accounts by category (e.g., "Current Assets", "Investments", "Plant, Property and Equipment", "Intangibles Assets", or "Other Assets") in a new column. Or you can map all your departments or classes into higher hierarchies to share summarized reports with other areas (e.g. you can map "Engineering" and "Product" as "R&D).
Create a Mapping
To create mappings follow these easy steps:
Open the Aleph web app
Click on Mappings on the left hand side
Click on “Add Mapping” on the top right corner
Select the table where you want to add the mapping
Click on the dimension(s) that you want to map
Name the new mapping column or columns (you can use more than one column to map the same dimension)
Begin mapping by clicking on the column with your new mapping classification and entering the desired values. You can also click on "Edit in Excel" to apply the mappings via spreadsheet.
To add your mappings via Excel, download the mapping file
Fill in the values directly in Excel and save it
Upload the updated mapping file and the values in the mapping column will auto-populate in the Aleph web app
Click "Apply Mapping"
Once complete, the mapping will be added to the Aleph web app and can be accessible in spreadsheets. You can update, modify, or delete your mappings in the Mappings section on the sidebar. Anytime that Aleph syncs a new value from the dimension mapped you will be able to add a new value in the output column for the mapping (e.g. there is a new GL account added to the table).
Note: Mappings can't be added for data warehouse tables within the Aleph web app.
Update a Pending Mapping
When new rows are added to a table and the values in an input column(s) for a mapping do not have a corresponding output column value, the mapping status will be marked as "Pending".
To update mappings that are marked as pending, follow the steps below:
Open the Aleph web app
Click on Mappings on the left hand side
Click on the mapping that has a “Pending” status
Click on “Pending Mappings” to see the mappings that are missing a value in the output column(s)
Click on “Edit” in the top right corner
Click on “Pending” to filter to the mappings that require attention
Update the “Pending” mappings directly in the Aleph web app or by clicking on “Edit in Excel”
To add your mappings via Excel, download the mapping file
Fill in the values directly in Excel and save it
Upload the updated mapping file and the new mappings will auto-populate in the Aleph WebApp
Click “Apply mapping”
In the “Mappings” section of the web app, the status will change from “Pending” to “Updated”
A status of "Updated" indicates that updates have been made to the mapping and will be applied to the table the next time the integration refreshes. When any updates to the mappings are successfully applied to the entire table and there are no "Pending" mappings, the status of the mapping will change from "Updated" to "OK" in the web app.
Apply an Existing Mapping to a Table
Mappings that you have created for a table can be applied to additional tables as long as there is a corresponding column that matches the input column(s) selected for the existing mapping.
To apply an existing mapping to another table, follow the steps below:
Open the Aleph web app
Click on Tables on the left-hand side and select the table where you want to add the mapping
Click on “Add Column”, then click “Mapping” in the modal
In the dropdown list, select the existing mapping that you would like to apply to this table (new mappings can also be created from this view by clicking “Create New Mapping” and following steps 4-8 in the Create a Mapping section).
Click on “Save & Preview”
Click on "Refresh now" in the blue banner
If the table you apply an existing mapping to has input column values that are missing from the mapping, you will receive an "#Error[Mapping]..." message on each row indicating the mapping ID and input column values that are not included in the mapping array.
