Filter & View Options

Filtering and customizing your view is a great way to adjust the information presented in Numeric to enable you to more efficiently identify your open action items.

Each view and applied filters are unique to each member of your workspace. These views and filtering are "sticky" so they are the same the next time you log in.

Note: Reconcile and Flux related elements are only available on paid plans (i.e., not applicable to Essentials customers).

Displaying Filters

To enable the ability to filter the Checklist, Reconcile or Flux page within the Close App, navigate to the top right of the page and click "Filter". This will allow you to see the different options available for you to filter.

This "Filter" button is available in the same location on the Checklist, Reconciliation and Flux pages.

Available Filters

Depending on the page you are viewing (i.e., Checklist, Reconcile or Flux), different filtering options are available for you. Refer to the table below for additional details on available filters and where they apply.

Note: "All" indicates the filter is available on each of Checklist, Reconcile and Flux.

Entity

Provides the ability to filter your view by an individual entity (or entities).

Note: The Entity filter is only available if you have multiple entities. Refer to [Manage Entities Link] for additional details.

Category

Provides the ability to filer your view by categories. Categories are determined by your Checklist.

Note: Only accounts assigned a category on the Reconciliation page will appear in the Checklist as a reconciliation task.

Checklist / Reconcile

Type

The type filter provides different options for the Checklist vs. Reconciliation & Flux.

Checklist: The type filter allows you to filter by Task, Journal Entry or Reconciliation. For more information refer to Getting Started: Checklist.

Reconciliation & Flux: The type filter allows you to filter by financial statement line item (Revenue, Expense, Asset, Liability, Equity).

All

Assignee

Provides the ability to filter by an individual assignee or a selection of assignees.

Note: When filtering for assignees, the results returned will show then the assignee is either a Preparer or a Reviewer.

Status

Provides the ability to filter for the following task, reconciliation and flux statuses:

  • Unassigned

  • Assigned

  • Prepared

  • Completed

Filtering for "Unassigned" is a great way to ensure that all tasks, accounts and required flux explanations have been assigned to your team members.

View Options

Your individual view settings are available in the top right of each of the Checklist, Reconcile and Flux pages. Using View is a quick way to apply a filter to see only your tasks as well as adjusting the groupings of tasks/accounts and adding or removing columns.

Showing Only your Tasks

Toggling on "Show only my tasks" will remove any tasks, reconciliations or flux explanations where you are not assigned as either the preparer or reviewer.

Grouping (Checklist Only)

On the Checklist page, you are able to edit your view to change the grouping to allow for the following:

  • Group by Category: The Checklist will be grouped only by category. If a multi-entity business, entity can be optionally added as an additional column within the checklist or further filtered using the steps documented above.

  • Group by Entity: The Checklist will first be grouped by entity and then by category. This is helpful if there is a desire to collapse the checklist headers at the entity level vs. only at the category level.

  • None: This removes all grouping from within the Checklist view and a list is provided. Category and/or entity can be added as columns to provide similar detail.

Adjusting your view to "None" and adding in categories and entities as columns is a way to allow you to sort all tasks by their due date.

Statement View (Reconciliation & Flux Only)

On the Reconcile and Flux pages, you are able to toggle on and off the "Statement View" which groups accounts by their COA hierarchy into Revenue, Expense, Assets, Liabilities, and Equity.

View Prior Periods (Flux Only)

On the Flux pages, you are able to toggle on and off the "View prior periods" which adds three additional months (or quarters) of data to the flux report. These additional periods are useful for visualizing the amounts from prior months on one page.

Note: Prior period data does not factor into the monthly or quarterly variance calculations.

Column and Row Options

Your individual view settings can also be adjusted to add or remove columns or rows that may provide additional information or alternatively simplify the overall look of your view. Refer to the table below for rows and columns that can be toggled on and off as well as what pages those are applicable to.

Empty Categories

Allows you to toggle on or off categories that do not have checklist items for that period. An example could be a category that only contains annual tasks. If you don't want the empty category to appear on a monthly basis you can turn this off.

Toggling this on allows you to view all reconciliations. Toggling this off will filter for only those accounts where Auto Submit is enabled.

No Comments

Toggling this on allows you to view an account whether or not there is a comment. Toggling this off will filter for only those accounts where there are comments.

Reconcile / Flux

Row

No Explanations Required

Toggling this on allows you to view an account whether or not there is an explanation. Toggling this off will filter for only those accounts where an explanation is required.

Note: Explanation requirements are based on the thresholds which are set by entity and by report. Refer to📄 Getting Started: Flux Analysisfor additional details.

Description

Displays the description field of a task. Generally, descriptions are where additional instructions or context for a task are added so enabling this column will add that additional detail within your checklist view.

Displays the entity abbreviation. Note that if multiple entities are assigned to a checklist item then the abbreviation for each will appear here.

Category

Displays the category for the task, journal entry or reconciliation.

Frequency

Displays the frequency of a task, journal or subtask, which is defined when created. To edit the frequency of the task, please refer to📄 Managing your Template.

Displays the due date based on the business days calculation defined for the checklist item, reconciliation or flux.

Note: The calculated numerical difference will always be displayed on reconciliation and flux. The toggle will allow you to include to exclude the related %.

Hint: If you find yourself filtered on an option that no longer exists (e.g., deleted category, deactivated user, etc.), please select "Clear All" from the filter options, which is located next to the "Due Date" filter whenever there is an applied filter.
