Does Numeric support email notifications? How can I turn those on?
Yes! To turn on email notifications, please navigate to the Settings page, then select Integrations on the left side panel and Notifications from the top section of the page. Here you will see both Slack and email notification settings. Refer to the📄 Connecting Slack & Email Notification Preferencespage for additional information.
Can we track multiple different holiday calendars based on different entities?
Today there is one single holiday calendar which impacts the business day due dates of all of your tasks. Holidays are treated like additional weekend days, with due dates within the period pushed forward by one day accordingly. Is there a way to change the submitted / completion date of a task?
Not currently. Task statuses and activity are tracked automatically and are not editable to preserve maximum audibility!
How do I show only my tasks?
Filtering for only your relevant tasks is as easy as toggling on "Show only my tasks" within your view. Refer to the📄 Filter & View Optionspage for additional information.
How do I add or remove a team member?
Only administrators can add or remove team members from a workspace. To manage team members, navigate to settings by click on the icon in the bottom left of the page above your name. From there, click on the "Team" page where you can invite users, change their permissions or inactivate them. Refer to📄 Managing Usersfor additional details.
How do I connect my Company's file storage to Numeric?
Each user must connect their file storage in Numeric separately as file permissions are based on those granted with your storage provider. To connect to file storage, navigate to the settings page and click on "Integrations". From there click on "File Storage" at the top of the page and set up your connection. Refer to📄 Connecting File Storagefor additional details.
What is the "Target Close" date and how is it determined?
The Target Close is the date you are expecting to close a period and is based on the due dates defined on your tasks (including checklist, reconciliation and flux). The Target Close will be based on the latest due date of any assignments across preparers and reviewers. If there are certain tasks you do not want to impact your Target Close, these can be added to a "Non-Close" category. For additional details refer to📄 Manage Checklist Categories.
Does Numeric support single-sign-on (SSO)?
We support SSO for Growth and Enterprise customers (we do not currently support this option for Essentials customers). Please reach out to support@numeric.io indicating that you would like to enable SSO and provide the name of your company contact who can assist in enabling this.
Who can see my AI Assistant conversations? Can I share my AI Assistant conversations?
Your conversations within the AI Assistant chat bots (GAAP Bot, Policy Bot, Tax Bot) are completely private to each member of a workspace and are not shared with anyone in your workspace. Currently, we do not support sharing your conversations with other team members so please consider copying the relevant details to share with your team via email, Slack, or other channels.
How does Numeric keep my financial data safe? What AI safeguards are in-place to ensure my private financial data remains private?
Numeric employs multiple strategies to safeguard your data, including end-to-end encryption in-transit & at-rest, as well as crafting unique anonymous requests to our AI sub-processor.
In addition to being fully SOC compliant and encrypting data, the API Platform we leverage with our sub-processor OpenAI is governed by a strict enterprise privacy policy that ensures your data is not used / re-purposed to train any underlying models and data is not retained on their servers longer than required by law. To further protect your data, Numeric prepares generic requests to the OpenAI API that do not reveal your workspace name or include other identifying information about your business beyond the specific set of transaction line data sent for individual explanations at a time.
Requests to generate AI flux explanations are sent independently of one another, preventing any given AI context window from including a high volume of your transaction data.
Numeric pre-processes financial data to highlight key contributing factors and associated arithmetic, only sending relevant datapoints for generating any given explanation to our sub-processor.
Checklist
Can I submit a task on behalf of someone else? Can I assign a task to a team or group of people?
Administrator roles are able to submit tasks on behalf of someone else and upon submission, the preparer name will update to the administrator who submitted the task. Today tasks can only be assigned to one team member. Within a close period, you can instantly reassign a task by clicking on the name of the assignee and selecting someone else. You can make this change for only one period if you'd like to temporarily complete a task for someone else but not impact the assignee in future periods.
How do I unsubmit a task?
After submitting a task, you will have the option to unsubmit by hitting the return button. When unsubmitting, you will have the option to add a reason which will then be included in the Comments & Activity section for audit trail purposes. Is it possible to create multiple checklists? How do I best manage tasks for multiple entities?
Today we support a single close checklist with the ability to tag tasks to one or multiple entities. You can click the Filter button in the top right, and filter down to specific entities if you’d like to view just one specific entity at a time! Refer to📄 Filter & View Optionsfor additional details.
Can I attach files like PDFs or Excel spreadsheets to tasks?
You can use the "links" section in the task sidebar to add a link to a spreadsheet stored somewhere like Google Drive or Box! You can also drag & drop upload files directly to tasks! Refer to📄 Using Links and Attachmentsfor additional details.
What files can I preview within Numeric?
Excel files in Google Drive will open within Numeric with Google's file previewer as an excel file. You can also open it in a new tab; we do not currently have a way of triggering Excel on your computer to open when you click the file but it is something we'll look into! Additionally, we support watching Loom videos and viewing PDFs directly within Numeric.
Can I import a checklist with tasks tagged to multiple entities?
Our checklist uploader does not include tagging entities from the import. So once you've uploaded the checklist, you can use the bulk edit feature in the Template to apply your entities to your tasks — one or multiple for each group you select. Refer to📄 Importing An Existing Checklistand📄 Making Bulk Editsfor additional details.
Can I import a checklist with Subtasks?
Yes! Numeric supports subtasks imports provide it is included in the same import as the parent task. Refer to📄 Creating and Using Subtasksfor additional details.
I tagged a task to multiple entities but when I group by entity, the task is only showing up once?
When grouping by Entity, the Checklist will only show one instance of the task. (So individual tasks tagged to multiple entities do not appear multiple times)
If you'd prefer to see a version of a task in each entity uniquely, you can create a version of the task assigned to just one entity. Or, group by Category and filter by Entity to see the Checklist with items only for specific entities at a time. (This prevents the Checklist from showing more submit buttons than there are tasks for now — each row is a unique task & progress counts only reflect unique tasks).
How can I change my task frequency?
Once a task has been saved, the frequency can be modified within the Manage Templates page of Numeric. Refer to📄 Managing Frequenciesfor additional information.
Can I use Numeric for time tracking?
Numeric does not currently have a dedicated field for time tracking. However, some teams add the expected time in the Description of the task and have the preparer including a comment of how much time it actually took to complete. This will provide an audit history if you want to review specific tasks in the future.
Reconciliation
How do I get reconciliation tasks to appear on the Checklist?
On the Reconciliation page, assign a corresponding checklist category to each assigned reconciliation. Once a category is assigned, a separate reconciliation task type will appear within that category on your checklist. Refer to📄 Getting Started: Account Reconciliationsfor more information.
What support sources can I attach or link to my reconciliation?
Spreadsheets or PDF bank statements are currently supported as reconciliation sources. PDF bank statements can be attached within Numeric while spreadsheets are linked to the location on your cloud storage provider. Refer to📄 Managing Reconciliation Support Sourcesfor additional details.
Can I convert a reconciliation to a subtask?
Reconciliations cannot be converted into a subtask of another checklist task. However, they can be easily filtered in or out of the checklist view by utilizing the "View" button at the top of the checklist or the "Type" filter. Refer to📄 Filter & View Optionsfor additional details.
Workspace Management
How do I open, close or reopen a new period?
There are a few ways to open, close and reopen periods within Numeric, but the most common is from the landing page in the Close app. Refer to📄 Opening and Closing a Periodfor additional details.
How do I export a report, checklist or flux?
You can export your data by right clicking within a table and selecting Export. From there you can Export via CSV or Excel.
How do I invite a team member or resend an invite?
You can send invites to new team members by heading to Settings > Team. To resend an email invite to someone you've already invited, click on the "Resend invite" button next to their name.
Can I delete a close period?
You cannot delete a close period, but you can close the period without completing all of the tasks. Refer to📄 Opening and Closing a Periodfor additional details.
Alternatively, if you need to update the checklist for that period, you can utilize the "Reset and Reload" feature in the checklist. Note that resetting and reloading a checklist will remove any submissions or completed tasks in that close period. Refer to📄 Managing your Templatefor details on how to reset and reload the checklist in a close period to match the template.
How can I delete my workspace?
