Using Links and Attachments

Links and attachments are a great way to attach one-time or recurring documentation for a task, journal entry, reconciliation or flux. Links and attachments can be set up to rollforward with a task, journal entry or reconciliation, which is useful for maintaining instructions or other relevant guidance.
The use of links vs. attachments is entirely up to you and your team, but some key differences to keep in mind are noted below:

Link | Dependent on the file storage access rights. For example, if someone does not have access in Google Drive, they similarly will not be able to accesss when clicking on the link. | Linked files are subject to change as the underlying file that is linked is updated. For example, if you link a spreadsheet to use as a template, changes made to that file within your cloud storage provider will be reflected the next time someone clicks on the link. |
Attachment | Everyone with access in Numeric can access the file. This can be useful if there is a document that you want to ensure everyone on the team (or the auditors) have access to without having to worry about granting permissions to each of them separately. Note: We do not recommend ever attaching sensitive information as this will be accessible to all within Numeric. | Attachments are fixed at a point in time. This can be useful if you want to ensure there are no further updates to the document be referenced on the file. |
The Links and Attachments sections of the sidebar cannot be used to automatically support a reconciliation balance. Any support sources for a reconciliation must be linked using the Reconciliation Sources section or by navigating to Manage Sources. Refer to📄 Managing Reconciliation Support Sourcesfor additional details.
Adding a Link
You can add a link to a task, journal entry, reconciliation or flux by clicking on the name of the specific task to open the sidebar on the right side of your screen. From the sidebar, scroll down to the "Links" section where you will see an "+ Add Link" option:
If you'd like to pin the link to future instances of the task, journal entry, reconciliation or flux select "Display this link on future instances of this task" before hitting save.
Unpinning or Removing a Link
To unpin or remove a link that was previously set to display on future instance of the task, open the sidebar for that task and scroll down to the Links section. Hover next to the existing link and click on the three dots that appear. Select "Unpin" or "Remove".
The same process can be used to update an "Unpinned" link to turn it into a "Pinned" link. Instead of seeing "Unpin" you instead see "Pin".
Uploading an Attachment
You can add an attachment to a task, journal entry, reconciliation or flux by clicking on the name of the specific task to open the sidebar on the right side of your screen. From the sidebar, scroll down to the "Attachments" section where you will seen an option to drag & drop of click to browse in or to upload the attachment.
By default, attachments uploaded to Numeric are initially set as Unpinned
Downloading, Pinning or Removing an Attachment
To download, pin, or remove an attachment that was uploaded, open the sidebar for that task and scroll down to the Attachments section. Hover next to the existing attachment and click on the three dots that appear. Select "Download", "Pin" or "Remove".
