Using Email Automation

Numeric's Email Automation is a great way to automate recurring internal and external communications! Common examples include monthly emails requesting accrual information from vendors or month-end emails to employees reminding them to submit expense reports!
Enabling Email Automation
Email automation is available on tasks, journal entries and reconciliations. To enable the automation:
Click on the task, journal or reconciliation
Scroll down the sidebar until you see the Automation button
Click Enable on the subsequent pop-up window
Provide the recipient email address or addresses and optionally add additional emails in cc or bcc.
Note: As the creator of the automation, you will be cc'ed on the automated email by default so any responses will go directly to you.
Provide the email subject that will recur with the email based on the task frequency
Determine the date you would like the email to be sent
Note: This can be a business date (e.g., BD1) or a specific calendar day (e.g., 30th of each month)
Provide the recurring email message that will be sent each time
Once all required fields are populated, you can hit save and your automation is all set!
You can go back and edit the email at any point by going back to the task, click on the automation and reviewing the enabled email automation and editing the related text or recipient.
Sending Documents with Email Automation
Your email automation text can easily be updated to include links to a cloud storage document or folder where pertinent information for the recipient is stored!
If the same document will need to be reviewed or completed by the recipient each month, we recommend creating a view only version of the document and including a link to that document in your automated email. In this way, the recipient can make a copy of the file each month and return their copy to you for that month-end close.
Numeric does not currently store email responses in the system. You are cc'ed on all email automations you've created and are therefore set up to receive any responses directly.
Modifying or Disabling Email Automation
If at any point you wish to modify or disable an existing email automation, simply navigate to the task, click on the automation and select the "Disable" or "Modify" options from the resulting pop-up.
Identifying Tasks with Email Automation
Tasks, Journals or Reconciliations with automations will have a magic wand icon on the name of the task. This can be a useful way to scan your close checklist to see what existing automations you have set up.
