Making Bulk Edits

Last updated: October 22, 2024

Tasks can be bulk edited from any given period or from your Template. Bulk edit items within the period if you're making changes you want applied from that period (for example, adding assignees) or only in that period (for example, one-time pushing due dates for a set of tasks). Make edits from the Template if you want them to only apply to future periods (for example, changing assignees starting in next Close).

Bulk Selecting Tasks

  1. Hover over a task to reveal the bulk-select checkbox on the left side of the task name.

  2. Hold “Shift” and select another task further down the list in your template to select a range of tasks

    1. Or, leverage other familiar keyboard shortcuts to select specific tasks — CMD + Click (mac) and CTRL + Click (windows)

  3. You should now see the bulk edit toolbar at the bottom of the page where you can choose the bulk change you want to make to all selected tasks

Supported Bulk Changes

Today, you can manage a handful of bulk edits directly:

  1. Type (Task vs. Journal Entry)

  2. Entities

  3. Categories

  4. Assignees

  5. Due Dates

  6. Deleting tasks

The bulk editing feature, also includes the ability to convert tasks to subtasks and also convert subtasks to a parent task. For more information on subtask conversion, please refer to📄 Creating and Using Subtasks.

Limitations

  1. If you select a group of tasks that include a reconciliation, you will not be able to bulk delete.

    1. You are not able to delete reconciliations directly. To remove them from your Checklist, head to the Reconcile page, make sure the "Category" column is shown, and hover over the Category name to expose the X at the right of the category. This will remove the category from the Reconciliation and it will no longer appear on the Checklist. To make reconciliations appear on the Checklist, simply add / add-back a Category.

  2. If you attempt to apply a bulk edit and some of the tasks selected have already been submitted, bulk edits will not apply to those submitted tasks.

    1. For maximum audibility, we do not allow changes to be made to tasks that have already been submitted. You can un-submit the task to make changes or visit the template and make changes there; those updates will take effect next Close automatically!
