Managing Frequencies
Last updated: October 22, 2024
Numeric offers you the ability to set a variety of frequencies for your tasks and journal entries. Details on the frequencies are provided below:
Frequency | Description |
Monthly | Will recur in the checklist every month until the system is otherwise told to exclude via a deletion or frequency change. Note: This is the default setting whenever creating a new task or subtask in the UI. |
One-Time | Will only appear once in the checklist for the current month you are closing. Helpful for one-time tasks that come up during close or great for creating one-time review notes for team members using subtasks! Refer to Managing subtasks for additional details. |
Quarterly | Tasks will appear in your checklist on the quarter ends, which are determined based on your fiscal year. |
Annual | Tasks will appear in your checklist once at each year-end, which is determined based on your fiscal year. |
Custom | You have the option to select the specific close periods where you would like the task or subtask to appear. Refer to Using Custom Frequencies below for additional information. |
Note: Numeric currently does not support weekly task frequencies. However, there are two ways you can achieve a similar result in Numeric using the "Monthly" frequency above:
1. Create four monthly tasks and select the preparer due date to be "Specific Weekday" instead of "Business Day". From here you can select First, Second, Third, or Fourth week of the month and then the specific day of the week it is due.
2. Create four monthly tasks and use "Business Day" but utilize a structure similar to: -1, -6, -11, -16 business days on the different tasks to have a weekly task due every 5 business days working backward from the last business day before month-end close.
Selecting a Task Frequency
When creating a task, subtask, or journal entry, you will have the option to chose the frequency as part of the initial setup.
Modifying a Task Frequency
Once a task has been created, you can only modify the frequency with the "Manage Template" section of Numeric.
Note: An alternative to modifying the frequency is to delete the existing task in your close period and create a new one with the desired frequency. However, the ability to delete tasks may be limited depending on your role. Refer to📄 Managing Roles & Permissionsfor additional details.
To update the frequency of a task, navigate to the "Manage Template" page in Numeric, search for the task and update the frequency.
Using Custom Frequencies
Custom frequencies are a helpful feature for managing recurring tasks that may not fall at a quarter-end or at year-end. Common examples include certain tax filings (e.g., VAT) or Goodwill impairment analysis (often completed in October or November close).
To set a custom frequency, choose the option "Custom" when selecting a task frequency. The resulting menu for Custom frequency will present each calendar month representing the close period (or periods) you would like to the task to occur (not the calendar month due date). For example, selecting January close and setting the due date as business day 15 means that the work will be completed on the 15th business day of February.
You can select multiple months by checking the box next to each month before hitting save. To edit a custom frequency, refer to Modifying a Task Frequency in this article.
