Drill Down Functionality 2.0

The drill down feature in Aleph allows you to delve deeper into your data by transforming high-level figures into detailed transactional reports. This functionality is essential for analyzing specific data points, understanding underlying transactions, and gaining insights into various dimensions of your data. Whether you're auditing financial figures, investigating discrepancies, or simply exploring your data, drill down offers a straightforward and efficient way to access the information you need providing deeper insights to support better decision-making.

Using the Drill Down Feature

Drill down enables you to:

  • Examine high-level figures and break them down into transaction-level details.

  • Customize the dimensions you want to analyze, such as location, department, or any other relevant attributes.

  • Utilize different data retrieval methods in Aleph Explore, Aleph Formula, and Connect to access detailed information.

Whether you're reviewing financial statements, operational metrics, or any aggregated data, drill down provides a comprehensive view of the components that make up your figures.

Drill Down Using Explore

  1. Identify the cell containing the high-level figure you want to investigate

  2. Click on the cell to select it.

  3. Navigate to the Aleph add-in in your spreadsheet application.

  4. Click on the "Drill down" button.

    • Aleph will generate a detailed report displaying all transactions contributing to the selected figure.

    • The report includes all available data in the relevant table that make up figure.

Customizing Drill Down Dimensions

If you're interested in more detail on specific dimensions:

  1. Select the cell with the figure you want to analyze.

  2. Click on the "Drill down by" button.

  3. Select the dimensions you're interested in (e.g., Location and Department) from the dialog box that appears.

  4. Click Accept

    • The resulting report will display detail only for the selected dimensions, simplifying your analysis.

Drill Down for Multiple Periods

To analyze data over multiple months:

  1. Select the range of cells covering the periods you're interested in (e.g., the months making up the first quarter of 2024).

  2. Click on the "Drill down" or "Drill down by" button.

  3. Select the dimensions if "Drill down by" was selected.

  4. View the compiled report that will include data from all selected periods.

Tips and Best Practices

  • Consistency Across Methods: Regardless of whether you're using an Explore, the Aleph Formula, or a Connect, the drill down functionality works the same way, providing seamless access to detailed data.

  • Refreshing the Add-in: When you delete tabs or sheets containing drill down reports, the corresponding entries in the Aleph add-in may still appear. Refresh the add-in by navigating within it, clicking on any item, going back to the previous page to update and display only active items.

  • Data Integrity: Drill down reports pull the latest data from your system, ensuring that your analysis is based on current information. You can also refresh an individual drill down by click on the ellipsis next to it and selecting "Pull data".

  • Dimension Selection: Selecting specific dimensions helps focus your analysis, making large datasets more manageable.
