AppStore Rollout Communication Templates

Last updated: October 8, 2024

After this article...

You'll know how to share the greatness of your AppStore launch to your employees!

Background

You’ve set up your AppStore and you’re excited. You may have even showed it to a few people outside of IT. But now it’s time to announce it to a larger group and get the company using it!

We know you can write up docs, but we also know you’re busy.

Below, you’ll find a few templates that will help you announce the AppStore to your company and make sure that everyone has the resources they need to use it.

We recommend sending at least an email or Slack announcement with an @ mention, whatever your company uses more. You can also do both, if that’s how your company does things.

ITSM Auto-Responder

Put this in as an ITSM auto-response for access request tickets to encourage people to use the AppStore!

Thanks for reaching out!

For software access requests, we have an AppStore. If you re-submit your request there, you can:

  • Get access to your app faster

  • Discover our other approved apps

  • Get notified about progress automatically through email + Slack

Announcement To Approvers

Send this to your approvers before you roll out the AppStore so that they're aware of what to expect when they get a request to approve access.

Hi [COMPANY] Employees!

We're excited to announce that, on [DATE], IT will roll out a faster way for everyone to request access to new software -- the [COMPANY] AppStore!

What is the [COMPANY] AppStore?

The AppStore, provided by Lumos, is a catalog of the approved software apps we use at [COMPANY]. You can learn more about how to request apps here:📄 Requesting Access to an App

Why am I getting this message?

Because you'll eventually be asked to approve a request for access to an app, and we want you to know what this process looks like through the AppStore.

Here's a 1 minute video that shows what you'll need to do if you get one of these requests.

If you have any other questions, please read this article for more info or let us know in [IT SLACK CHANNEL] or at [IT EMAIL ADDRESS]! 📄 Approving Access Requests

Announcement To App Admins

Send this to your app admins before you roll out the AppStore so that they're aware of what to expect when they get a request to provision access to an app that they manage.

Company-Wide Email/Slack Announcement

Add a note or slide for this in your new hire orientation docs so that new hires know to use the AppStore for anything they didn’t get during onboarding.

Hi [COMPANY] Employees!

We’re excited to announce that you can now quickly request access to any software you need through our company’s new AppStore.

What is the AppStore?

The AppStore is a catalog of the approved software apps we use at [COMPANY]. You won’t see every app we use in there yet, but you can still request any app even if you don’t see it!

How do I make a request?

You can do it through the AppStore (link), or type “/appstore + Enter” in Slack to kick off a request (please don’t request apps you already have, unless you need more access). The AppStore will let you know via email & Slack when your request is finished.

If you don’t see an app, submit a Custom Request so we can add it to the AppStore later!

Here’s a 1-minute video that shows you how it works:

I’ve been asked to approve a request — what do I do?

If it’s okay for the requester to have access to the app, click “Approve” in Slack or the AppStore. If not, click “Deny”. It’s that easy!

Here’s a video that shows how it works:
