Creating Reports & Monitors

Note: this functionality is currently only supported with a connected NetSuite GL

Creating a Report

Build custom reports powered by all transaction data in your GL in just a few clicks!

  1. From the homepage, click into Reports

  2. Click New Report in the top right

  3. Build a Query in the Report Definition section to identify the transactions you'd like to include in the Report

    1. Queries let you quickly select among all the metadata coming from your GL and build logical expressions to further refine what you're looking for!

  4. Click Run

  5. You're now seeing all transactions that match your Query! From here, you can click the Pivot button to add unlimited levels of custom pivoting to refine your report

    1. Click on any cell when pivoted to view a drill-down!

  6. Enter a name for your Report in the top bar and click Save

Creating a Monitor

Monitors allow you to take the same query builder used for custom reports, and create real-time monitors that help enforce certain policies and procedures as well as flag for any specific anomalies.

  1. From the homepage, click into Monitors

  2. Click New Monitor in the top right

  3. Build a Query to define the conditions you'd like to enforce with this monitor

    1. This is the query that will run automatically in the background as new transactions are posted to the GL and should be set with the conditions you'd want to be notified of anytime a transaction is posted that meets these conditions.

  4. Click Run and validate no transactions currently violate the monitor (or observe those that are currently violating the conditions you've set)

  5. Enter a name for your Monitor in the top bar and click Save

Example Use Cases

Below are a few example Monitors we see teams set up frequently. Use Monitors to be notified when something might violate a policy and help pull forward manual accounting work you're doing at month-end!

Enforce Policies & Procedures

  1. Prepaid Expense Monitor

    1. Create a monitor that queries transactions across all of your at your expense accounts and is not any vendors that are usage-based and has a dollar Amount above your capitalization threshold.

  2. Fixed Asset Monitor

    1. Create a monitor like the Prepaids example above that instead looks at expense asset related to office expenses, furniture and fixtures, computers, and more to help detect expenses that might need to be reclassified as fixed assets and amortized.

  3. Expenses Missing Department and/or Vendor

    1. Create a monitor that looks at all expense accounts and flags if any are not coded to a department or vendor.

Detect anomalies

  1. Large Transaction Monitor

    1. Create a monitor that flags anytime a large transaction occurs in any specific subset of accounts or across all accounts for extra visibility

  2. Unexpected Transaction Type Monitor

    1. Create a monitor that flags if an unexpected type of transaction is posted to a specific account. For example: a manual journal entry posting directly a cash account or payroll account.
